What we collect

When you make an enquiry — by phone, email, WhatsApp, the contact form, or in person — we’ll typically end up with your name, contact details, and the address of the property the work relates to. If we carry out work, we’ll also have the EICR or test certificate as a record of what was done.

Why we collect it

To answer your enquiry, give you a quote, do the work, send an invoice, and keep a record of work carried out (which we’re required to do for testing and certification).

How long we keep it

EICR reports and test certificates are kept for at least seven years — partly because that’s standard practice for electrical records, partly because tenants, agents, and councils sometimes ask for old reports.

Enquiries that don’t turn into work are kept for up to two years and then deleted.

Form submissions

When you use the contact form on this site, your message is delivered to our inbox via two services:

• Resend (resend.com) — an email-API provider with an EU data-residency option. Resend retains the message body for up to seven days and the message headers for up to thirty days, for delivery diagnostics. After that the message exists only in our inbox under the retention rule above.
• A small PHP handler running on the same hosting as this website — receives the form, validates it, and forwards it to Resend. The visitor’s IP address is recorded briefly (under one minute) for short-window rate limiting, then discarded. It isn’t logged or retained beyond that window.

If you choose “Send via WhatsApp” instead of the email submit button, the message goes via your own WhatsApp account through Meta’s WhatsApp infrastructure, under WhatsApp’s own privacy terms. We receive it the same way as any other WhatsApp message.

The lawful basis for processing form submissions is our legitimate interest in responding to your enquiry. The resulting email follows the two-year retention rule above.

Who else sees it

Nobody, with two exceptions:

• If you’re a tenant of a landlord we work for, the report and certificate will be supplied to the landlord and (where they ask us to) their letting agent.
• If we use an accountant or invoicing software to keep our books, your name and the invoice details will be visible to them.

We don’t sell or share contact details for marketing purposes. Ever.

Your rights

You can ask for a copy of what we hold on you, or ask us to delete it (subject to the seven-year record-keeping requirement above). Email info@cjaelectrical.co.uk and we’ll come back to you.
